Sub-Block Room Form
The NAVC has negotiated special discounted hotel room rates at a variety of Orlando properties. Exhibitors can request sub-blocks within our current inventory.
Attendees:
Any reservation can be canceled with no cancellation fee charged until October 5, 2025. VMX Cancellation Fees from October 6 to November 2 will be $50.00; from November 2 - November 30 will be $75.00; from December 1 to January 4, 2026 will be $100.00 and January 5-arrival will be $150.00. cancellation fee charges will appear on your credit card statement as "CONFDIRECT*VMX2026". Cancellations made directly with the hotel will also incur this fee.
Exhibitors:
Any reservation can be canceled with no cancellation fee charged until November 9, 2025. There will be a $250 cancellation fee for any guest room cancelled any time on or after November 10, 2025. Should you cancel, this charge will appear on your credit card statement as "CONFDIRECT*VMX2026". Cancellations made directly with the hotel will also incur this fee.
Additionally, each hotel has their own cancellation policy – Hotel required cancellations be made at least 72 hours prior to check in date to avoid being charged a cancellation fee of a one night’s room and tax.
Early Departure Fee: For any changes to your departure date, please notify the hotel at least 72 hours prior to check in to avoid any Early Departure Fee charges. Please refer to your acknowledgement email to see if your hotel has an early departure fee.
